Stock & Systems Manager | Retail / Brand | Liverpool | £45k

About the Role

We are working with a growing brand and retail business that is looking to appoint a Stock & Systems Manager to take ownership of its operational systems, stock accuracy and data.

This is a key role within the Operations function and will suit someone who enjoys being the go-to expert for systems, data and stock, while also having the opportunity to improve how the wider business operates.

You will take ownership of key platforms including Shopify, Mintsoft WMS and associated systems, ensuring they are configured effectively, data flows accurately between platforms and the business is making the most of its technology.

Working closely with the Operations Director and stakeholders across the business, you will identify opportunities to improve processes, automate manual activity and ensure systems are scalable as the business continues to grow.

Key Responsibilities

Systems Management & Ownership

  • Act as the internal SME and key point of contact for operational and business systems.
  • Take ownership of Shopify, Mintsoft WMS and associated stock, order and operational platforms.
  • Ensure systems are configured, maintained and used effectively across the business.
  • Manage system integrations and the flow of data between platforms.
  • Maintain accurate product, SKU, pricing, stock and customer data.
  • Manage system users, permissions and controls.
  • Investigate and resolve system issues, working with software providers and IT partners where required.
  • Manage system changes, upgrades and new functionality, including testing and implementation.
  • Identify opportunities to improve automation, efficiency and system capability.
  • Provide training and support to colleagues across the business.

Stock & Inventory

  • Maintain high levels of stock accuracy across warehouses and locations.
  • Ensure physical stock movements are accurately reflected within relevant systems.
  • Monitor stock transfers, adjustments, returns and discrepancies.
  • Investigate stock variances and implement corrective actions.
  • Support stocktakes and cycle counting.
  • Provide accurate stock information to Operations, Purchasing, Finance, Customer Service and Retail teams.

Reporting & Data

  • Own the accuracy and integrity of key operational data.
  • Produce management reports and analysis to support business decision-making.
  • Monitor stock, order and system performance and identify trends or issues.
  • Develop improved reporting and dashboard functionality where appropriate.
  • Provide senior management with accurate and timely systems, stock and operational information.

Process Improvement

  • Continually review how systems are being used and identify opportunities for improvement.
  • Lead projects focused on system functionality, automation and operational efficiency.
  • Identify opportunities to remove manual processes and duplication.
  • Ensure systems and processes are scalable as the business grows.
  • Support the implementation of new systems, integrations and technology.
  • Establish and maintain clear system processes, controls and procedures.

About You

We are looking for someone who combines strong systems knowledge with excellent operational understanding.

You'll ideally have experience within stock control, inventory, e-commerce, systems management or a similar operational environment, with a genuine interest in using technology and data to improve business performance.

You'll be confident getting under the skin of systems, identifying problems and finding practical solutions. Just as importantly, you'll be able to communicate technical information clearly to colleagues who aren't systems specialists.

You'll ideally have:

  • Experience in systems management, stock control, inventory, e-commerce or a similar operational environment.
  • Strong understanding of Shopify, WMS/ERP systems and system integrations.
  • Strong analytical and problem-solving skills.
  • Excellent Excel and data management capabilities.
  • High levels of accuracy and attention to detail.
  • Experience managing relationships with external software/system providers.

Desirable Experience

  • Mintsoft WMS experience.
  • Advanced Shopify experience.
  • Understanding of APIs and system integrations.
  • Experience within brand, retail, e-commerce or FMCG environments.
  • Experience working with third-party logistics providers.
  • Power BI or similar reporting platforms.
