Facilities Management Supervisor

Location: Central London
Working pattern: Full-time, permanent | 4 days office-based, 1 day from home
Salary: £45,000 to £50,000

Are you an experienced Facilities Management professional looking to take ownership of a busy, multi-site estate?

We are recruiting for a Facilities Management Supervisor to oversee the day-to-day delivery of FM services across a fast-paced organisation. Based at the company's Central London head office, you will lead the coordination of reactive maintenance, planned preventative maintenance and project works, ensuring high standards, operational efficiency and full compliance.

This is a hands-on leadership role with responsibility for supervising the Facilities team, managing contractors and suppliers, overseeing the FM helpdesk and acting as a key escalation point when urgent operational issues arise.

The role

As Facilities Management Supervisor, you will:

  • Coordinate reactive, planned and project works across a multi-site estate, ensuring jobs are prioritised, tracked and completed within agreed timescales.
  • Provide day-to-day leadership to Facilities team members, including workload allocation, coaching, performance management and development.
  • Monitor team performance against KPIs, service expectations and agreed SLAs.
  • Act as the main escalation point for operational, emergency and urgent facilities issues.
  • Support and deputise for the Facilities Manager and FM Strategy and Planning Lead when required.
  • Oversee supplier and contractor performance, ensuring work is completed safely, on time and to the required standard.
  • Arrange site visits and obtain and review quotations, ensuring quality, value for money and strong supplier relationships.
  • Support the delivery of FM projects, including Health & Safety and security initiatives.
  • Oversee the effective use of the CAFM helpdesk system, ensuring requests are logged, tracked and closed accurately.
  • Guide the team on best practice, process improvement, data accuracy and reporting.
  • Manage purchase orders and invoice processing in line with the company's financial procedures.
  • Maintain visibility of departmental costs and contribute to effective budget control.
  • Ensure FM activities comply with Health & Safety legislation, internal policies and wider compliance requirements.
  • Maintain accurate supplier records and compliance documentation.
  • Build effective relationships with internal stakeholders, contractors and suppliers.
  • Prepare reports, performance updates and operational insights for senior management.
  • Visit stores and other company locations when facilities support is required.

About you

We are looking for someone with:

  • At least five years' Facilities Management experience within a fast-paced, multi-site environment.
  • Previous supervisory or team-management experience, with the ability to motivate people and drive performance.
  • Strong knowledge of FM helpdesk operations and the coordination of reactive and planned maintenance.
  • A good understanding of Health & Safety legislation and compliance requirements.
  • Experience managing contractors, suppliers and service standards.
  • Strong organisational skills and the ability to balance competing priorities under pressure.
  • Confident communication and stakeholder-management skills.
  • Financial awareness, including experience with purchase orders, invoices and cost control.
  • Strong Microsoft Office skills, particularly Excel.
  • Excellent attention to detail and an ability to improve systems and processes.
  • Knowledge of CAFM systems would be advantageous.
  • Experience within a retail or property-led environment would also be beneficial.

What's on offer?

This is an excellent opportunity to join an established organisation in a visible and influential FM position. You will have genuine ownership of operational delivery, the opportunity to lead and develop a team, and the chance to contribute to improvements across a varied multi-site estate.

The role offers a hybrid working pattern of four days in the Central London office and one day from home. Flexibility to visit stores and other sites when required is essential.
